Important News from the Kingdom Webminister

THIS CONTAINS IMPORTANT INFORMATION ABOUT KINGDOM EMAIL AND DOC SERVER. PLEASE FORWARD THIS TO PEOPLE WHO WILL NEED THIS INFORMATION. (Frankly, it is all important!!)

Good afternoon, Æthelmearc Royalty, Kingdom Officers, Guild Heads, Group Seneschals, and all who currently have groups that reside on the Kingdom Web Server, and the Kingdom’s Populace.

This is a VERY exciting time for the Kingdom’s Webministry!! With this said, there is much housekeeping to keep all aware of recent and upcoming changes.

We have been in the midst of setting up our Kingdom’s Google Account. I am very thankful for our team of Google Deputies who have helped brainstorm, write policies, and worked on creating specific Kingdom accounts on the backend of our Google Server.

New Kingdom Email Accounts

Soon we will have our first wave of Kingdom accounts set up. These accounts will be for all Royalty, Kingdom Officers, Guild Heads, Group Seneschals, and all who currently have groups that reside on the Kingdom Web Server. If you have had a forwarder in the past on the Kingdom server, it will now be an official email account on the Kingdom Google server. The Kingdom will no longer be forwarding emails and you will need to log in to check your email account. You will be receiving credentials to log in to your Kingdom Google account at the address you have been receiving your Kingdom email. If you are unsure of what email that is, please contact us at ae.google@aethelmearc.org (until the switch, then remove the “ae.”) and one of us will respond with information in a timely manner.

Groups and positions that will have automatic creation of accounts from this move include:

– All Kingdom Officers (that are listed on the AEthelmearc.org website. We will talk about this in a moment.)
– All Group Seneschals
– AEANS
-AELeads
– Chatelaine
– Coins (Moneyers Guild)
– Coppertree
– Heraldry (We will talk about this in a moment)
– Hunters Home
– Kings Crossing
– Marshal (Earl Marshal — We will talk about this in a moment)
– Myrkfaelinn
– Webminister
– Kingdom Announcement and Discussion Lists (We will talk about this in a moment)

Additionally, the “ae.” section of emails will be going away with this move to Google. For example, in the past to reach the King you would type the following email: ae.king@aethelmearc.org. After the move, this will become king@aethelmearc.org. All Kingdom hosted email addresses (as listed above) will follow suit. If an email is sent to ae.****@aethelmearc.org, after the switch, it will bounce. We update all information on the Kingdom Website as quickly as possible after the changeover to reflect accurate information.

Rapier Email Addresses

In addition, all email addresses that had fencing noted in the address (specifically for aethelmearc.org, NOT for marshal.aethelmearc.net) will be updated to rapier. If an email is sent to ae.region1fencing@aethelmearc.org, after the switch, it will bounce. Everyone will be notified before the switch occurs [which is slated for December 12, but will be reposted next week] and after the switch has taken place.

Heraldry Website and Email Addresses

The AEHeralds site will be joining the Kingdom server and AEHeralds.net will be switched to heraldry.aethelmearc.org. All emails that are associated with aeheralds.net will be changed to reflect the new ending once this change takes place. Please note, after this change if an email is sent to ****@aeheralds.net it will bounce. Everyone will be notified before the switch occurs and after the switch has taken place.
Marshal: The Marshal site will be switching domain endings from marshal.aethelmearc.net to marshal.aethelmearc.org. All emails that are associated with marshal.aethelmearc.net will be changed to reflect the new ending once this change takes place. Please note, after this change if an email is sent to ****@marshal.aethelmearc.net it will bounce. Everyone will be notified before the switch occurs and after the switch has taken place.

Kingdom Announcement and Discussion Lists

These lists are being retired from our longtime host at CMU and will open as Google Groups. We are attempting to move all the email addresses over to the new groups for those who are already members or either or both of the Kingdom lists. The new addresses for sending to these lists will be announcements@aethelmearc.org and discussion@aethelmearc.org. If you are not currently on either or both of these lists and would like to be, please let us know at ae.google@aethelmearc.org (until the switch, then remove the “ae.”), and we will gladly add you to either or both of these lists. You do not need to have an aethelmearc.org email address in order to be on these lists.

People with Multiple Accounts

For any position that has 2 related positions, which have corresponding emails in 2 separate subdomains: In these cases, we are creating aliases so you can use the same account for either email account. For an example of this, after changes go into effect, region1rapier@aethelmearc.org and region1rapier@marshal.aethelmearc.org will feed to the same account.

For any person that has 2 (or more) unrelated positions: Please note that you will have a separate Google account for each of these positions and will need to log in/out of these accounts to access specific information.

Q & A

What if my Group/Order would like email addresses with an AEthelmearc subdomain?
We can do this! Please have your seneschal email ae.google@aethelmearc.org (until the switch, then remove the “ae.”) and we can talk about specifics and work on this.

What about me? Can I get an aethelmearc.org Google Account/email address?
At some point in January we will be opening up our thelmearc Google Account Request Form for all paid members in Æthelmearc to create an Google account on our server. This will allow you to have an email address ending in aethelmearc.org and space in Google Docs. Please stay tuned for more specific information.

What if I don’t know how to use Google?
Please know we have documentation available and we will have online trainings available on Zoom. Please stay tuned for more information.

Can I easily log in and out of “unrelated” accounts?
Yes! We will have documentation available for logging into and switching between multiple Google accounts.

Can I be logged into my personal Google account and an AEthelmearc Google account simultaneously?
Yes! We will have documentation available for logging into and switching between multiple Google accounts.

Æthelmearc Documents Moving to Google Docs

The second subject of note — the Kingdom Doc Server has been moved to Æthelmearc’s Google Docs account. All Kingdom-hosted documents on the Kingdom website should reflect this change. Please let me know (ae.webminister@aethelmearc.org — until the switch, then remove the “ae.”) if something is not correct so it can be remedied.

Please join me in welcoming Andere Magdalena Txoperena de Guerra to the Webministry as our Online Classes/Zoom Deputy.

She will be in charge of the Zoom Scheduling as well as assisting with set up of online classes and scholas that use the Kingdom Zoom account.

Zoom Update Needed

webministerFrom the Kingdom Webminister, Baroness Amalie, regarding Zoom, the conferencing service used by the Kingdom and its people for online gatherings, meetings, AE Live, and similar:

Please note that there is a Zoom client update (to Zoom 5.0) that *must* be done by May 30th on any laptop/desktop. (Presumably, phones/tablets will ask you to update or do an auto-update depending on your settings.)

If you do not update your client, from what I understand, you will have an interruption in using Zoom. Zoom will attempt to update automatically after the 30th. If it does not update, or you do not want to update, you will be forced to use the browser method of using Zoom.

This update will fix many outstanding security flaws from older client versions and there will be new security features rolled out with this update.

Please, in order to not have to Zoom update at the time of your meeting or the next AELive, go to http://zoom.us and click the orange update now button and update your zoom client. (Direct link to the download page is https://zoom.us/download)

WebministerBaroness Amalie, the Kingdom Webminister, has announced this year’s Æthelmearc nominees for the William Blackfox Web awards. This is a Society-wide award with nominees chosen by the Kingdom officer and winners chosen by the Society Webminister.


Greetings unto Æthelmearc!

This past month the Knowne World Webministers were asked to submit our nominations for the William Blackfox Web Awards. Here is the list of the nominees from Æthelmearc:

Best Overall Website – not necessarily the best-looking website, but rather the website which best meets the needs of the local group or SCA Event for which it is published. It should accurately reflect the status of the group/event and be a valuable tool for growth and promotion of the SCA goals and ideals. This title is awarded to the website and the Webminister.

  • Winner: Barony-Marche of the Debatable Lands, Kameshima Zentarou Umakai Webminister
  • Honorable Mention: Barony of Rhyderrich Hael, Lady Artemisia da Manarola, Webminister

Best Appearance– for the best looking website in balance and style. Awarded to the website and the Webminister.

  • Winner: Shire of Heronter, Kawamura no Ryôtarô Yoshichi, Webminister
  • Honorable Mention: Barony of Blackstone Mountain, Master Alaxandair O’Conchobhair, Webminister

Best Organization– for the most easily navigated website in balance and style. Awarded to the website and the Webminister.

  • Winner: Shire of Coppertree, Aerin (Euron) Wen Pengrek, Webminister
  • Honorable Mention: Barony of Delftwood, Lord Sabastian Mora, Webminister
  • Honorable Mention: Shire of Misty Highlands, Lady Isabetta Simona da Murano, Webminister

Best Use of Technology– for the site that utilizes advanced technology to provide value added services to its populace. Awarded to the website and the Webminister.

  • Winner: AEthelmearc AEcademy, Lord Amano Zenjirou Nakatsune, Webminister
  • Honorable Mention: Webminister Barony-Marche of the Debatable Lands, Kameshima Zentarou Umakai Webminister

Best Artwork– for custom artwork on the main page of the website. Awarded to the website and the artist.

  • Winner: Shire of Nithgaard, Graphic by Lady Avitoria Vidua

Best Special Interest Website– this category recognizes guild websites, research websites, and Arts & Science focus websites (such as lace-making). Awarded to the website and the Webminister.

  • Winner: Brewers’ Guild – Master Madoc Arundel, Webminister
  • Honorary Mention: Moneyers’ Guild – Baroness Amalie Reinhardt, Webminister (PLEASE NOTE: I have asked that I do not receive recognition as Webminister for this; however, the gentles who create the content for this page should be commended.)

Best Regular Feature– for those cartoons, articles, columns, etc. which are updated regularly on the particular website. Awarded to the creator or feature writer and the website.

  • Winner: Æthelmearc Gazette – “Populace in Focus”, Baron Magnus de Lyons, editor

Best Content– recognizes excellence in content appearing on a local website. Awarded to the Webminister and the website.

  • Winner: Shire of Abhainn Ciach Ghlais, Master Gille MacDhonuill, Webminister

The Internet has brought many long, windy paths over the past few years. As much as I enjoy sitting as your Webminister, it is time for me to put out a call for Letters of Intent for anyone interested in the Office of Kingdom Webminister. This is for a two-year term, starting at Spring Crown Tournament.

The Webminister’s Office is responsible for maintaining the Kingdom Website, forms and docs spaces, and email forwarders. Additionally, the Webminister is to assist webministers of local groups, Kingdom guilds and Polling Orders, and Kingdom offices with any web-related issues as well as collect reports every quarter and submit quarterly reports to the Society Webminister. The Webminister oversees the Event Coordinator on matters pertaining to the website, and works very closely with this position to keep the Kingdom Calendar up-to-date. The Webminister also works very closely with the Kingdom Chronicler. Finally, the Webminister collects Kingdom quarterly reports, sends reports to the Society Webminister, checks for compliance issues throughout Kingdom websites and also makes recommendations to Society level for the William Blackfox Web Awards.

The average time spent working on Kingdom Webminister duties is roughly 2-10 hours per week, depending on the time of month and issues that arise. Skills required for this position are a working knowledge of websites and web servers, email, cPanel, WordPress, HTML, and Spreadsheets.

I am available to discuss any questions you may have about the office via email (ae.webminister@aethelmearc.org), Facebook (Peri Nelson-Sukert) or phone (please email for phone number). Upon selection of my successor, there will be some time for training for this position.

Greetings unto the Most Glorious Kingdom of Æthelmearc!

Lady Aine (as Kingdom Chronicler), Lord Rhys (as Kingdom Events Coordinator), and I (as Kingdom Webminister) have been busily working on a system to address many of the recent concerns for event announcements in the Æstel and on the Kingdom website. The information below has already been approved by our Kingdom Seneschal, Duke Christopher.

We have updated our event submission and update forms. Just click on the links to check them out.

These updates include a few items of note:

1.  There are now 2 event announcement sections — one for the Æstel and one for the website. If the 2 sections are different, THL Aine will include “Please look for more information on the Æthelmearc Website” (or something similar) at the end of the event announcement in the Æstel. This will allow for information that does not need publishing in the Æstel (to keep within the 500 word limit), but that the autocrat would like disseminated to the populace. Examples of what might be listed on the website but not in the Æstel may include driving directions, the specifics of the A&S tournament, and the like…

2.  The following prompts will now be required (for all new events and updates), with the exception of the weapons question (noted below):

Event Alcohol Policy? Wet Site, Damp / Discreet Site, or Dry Site / No Alcohol

Are Pets Allowed? Yes or No

Are Flames Allowed? Open Flames, Contained Flames, or No Flames Allowed

Are Weapons Allowed? Weapons Allowed, Tied Weapons Only, No Weapons Allowed
(Please note: An answer to this question will not required, unless the answer is tied or no weapons.)

Each question also allows for additional information to be included, if desired. This information should be kept brief (such as “Leashes required” or “Contained flames during feast only”).

It is recommended that the required information listed above also be included in the event announcement. However, each of the answers from the set of questions will be translated into a quick-glance icon reference that will be placed both in the Æstel and on the website. On the website, these icons will be listed directly under the Royal Progress information within an event announcement, if it exists. Otherwise, it will be on the line right below the event name. This information will not be seen in the calendar listings.

A guide will also be placed in the AEstel.

*  Alcohol allowed?
Wet Site: Wine cup
Damp/Discreet Site: Wine cup with a white “do not” circle
Dry Site: Wine cup with a black “do not” circle

*  Pets allowed?
Yes: Paw Print
No: Paw Print with black “do not” circle

*  Flames allowed?
Open: Flame
Contained: Flame with a white “do not” circle
No flame: Flame with a black “do not” circle

*  Weapons allowed?
Weapons Allowed: Sword
Tied Weapons: Sword with a white “do not” circle
No Weapons Allowed: Sword with a black “do not” circle

We appreciate your patience as we transition to the new system in the Æstel and on the website. It will take awhile for all event announcements to display the new icon system. If you are an event autocrat, it is requested that you submit an update form so we have the information needed to display the appropriate icons associated with your event.
